Statement conversion for the self-employed

When your statements are your income record, they should be files you can search, sort and hand over — for taxes, applications and your own books.

One account, two stories

Many freelancers run business and personal money through one account. Converting a year of statements into a single spreadsheet and tagging rows is the fastest honest way to separate them — income over here, transfers and personal spending over there — before a tax preparer or lender ever sees the file.

Ready for the asks

Mortgage applications, rental applications, loan reviews: each asks for statements and then reads them for deposits. A converted, reviewed set means you already know what they will find, including which deposits are client payments and which are just your own money moving.

Feeding simple books

If a spreadsheet is your bookkeeping, the combined Excel export basically is the books: categorize it, total it, and the year is summarized. If you later move to QuickBooks or Xero, the same conversion exports in their layouts.

The workflow, step by step

  1. Download the year. Get every monthly statement PDF for the accounts you use for work.
  2. Convert in one batch. Upload the year and check that each statement reconciles.
  3. Tag and total. Add a category column; separate income, business expenses, transfers and personal items.
  4. Keep the pair. Store PDFs with the workbook so any figure can be traced back to the bank record.

These are the general steps most banks follow for statement downloads; exact menu labels vary by bank and change over time.

Questions and answers

Will a lender accept my converted spreadsheet?

Lenders require the bank-issued statements. The spreadsheet is how you prepare, review and explain — the originals are what you submit.

What does the reconciliation check do?

Where the statement prints opening and closing (or running) balances, the converter adds up the extracted transactions and compares the result with the statement itself. If the numbers do not tie, the conversion is flagged and the mismatched rows are marked — a failed check is never shown as a success.

Are my statement files kept?

No. Uploaded files and generated exports are stored only briefly to complete the download and are automatically deleted within 15 minutes.
