Statement tools for landlords

Statements show up in landlording twice: applicants send them as income evidence, and your own accounts hold the rent record. Convert both into files you can actually review.

Reading an applicant's statements

When an applicant provides statements instead of pay stubs, you are looking for recurring deposits from identifiable sources and balances that stay consistent month to month. In spreadsheet form, sorting deposits by amount and description makes that review fast — and makes one-off transfers between the applicant's own accounts (not income) easy to spot.

Authenticity is arithmetic

A genuine statement ties to itself: the opening balance plus the transactions equals the closing balance, and running balances walk correctly row by row. A document that fails that arithmetic deserves a direct verification with the issuing bank before any decision. Our guide to spotting a fake bank statement walks through the checks.

Your own rent ledger

Converting your operating account statements gives you a clean rent-and-expense record per year — deposits matched to tenants, expenses ready for your tax preparer, and a defensible trail if a deposit is ever disputed.

The workflow, step by step

  1. Ask for complete statements. Full statements for the months you require, every page, as issued by the bank.
  2. Convert your working copy. Keep originals untouched; convert a copy for review and sorting.
  3. Check the arithmetic. Confirm the statement ties to itself before relying on it.
  4. Decide on evidence. Base the decision on recurring, documented deposits — not a single large credit.

These are the general steps most banks follow for statement downloads; exact menu labels vary by bank and change over time.

Questions and answers

Should I redact anything when an applicant sends statements?

Applicants can reasonably redact the full account number; names, dates, balances and transactions are what screening actually uses.

What does the reconciliation check do?

Where the statement prints opening and closing (or running) balances, the converter adds up the extracted transactions and compares the result with the statement itself. If the numbers do not tie, the conversion is flagged and the mismatched rows are marked — a failed check is never shown as a success.

Are my statement files kept?

No. Uploaded files and generated exports are stored only briefly to complete the download and are automatically deleted within 15 minutes.
