Trust records must tie

Client funds in trust are reconciled against bank statements as a matter of professional obligation in most jurisdictions. A conversion that verifies transactions against the statement's own balances gives the firm's bookkeeper a transaction file whose completeness is proven before it is compared with the trust ledger — shortening the hunt when the two disagree.

Matter-level review

In litigation support, family matters and estate administration, statements arrive as PDFs and the questions are transactional: what came in, what went out, in what order. A converted, sortable file turns a weekend of page-turning into an afternoon of filtering.

Handling discipline

Statements are client-confidential financial records. Converted files inherit that status: store them in the matter file, share them on the firm's normal need-to-know basis, and note that this converter deletes uploads and exports within 15 minutes.

The workflow, step by step

  1. Receive statements into the matter file. Log the period and account each PDF covers as it arrives.
  2. Convert with verification. Run the conversion and confirm the statement reconciles before analysis.
  3. Analyze in the workbook. Use the Excel export for chronologies, totals and exception hunting.
  4. Retain with the record. Keep PDF and converted file together under the firm's retention policy.

These are the general steps most banks follow for statement downloads; exact menu labels vary by bank and change over time.

Questions and answers

Does this replace our trust accounting software?

No. It prepares verified transaction data from statements; the trust ledger and its three-way reconciliation remain in your accounting system.

What does the reconciliation check do?

Where the statement prints opening and closing (or running) balances, the converter adds up the extracted transactions and compares the result with the statement itself. If the numbers do not tie, the conversion is flagged and the mismatched rows are marked — a failed check is never shown as a success.

Are my statement files kept?

No. Uploaded files and generated exports are stored only briefly to complete the download and are automatically deleted within 15 minutes.
