Statement conversion for property managers

Management runs on other people's money: owner funds, deposits, HOA accounts. Statement conversion keeps those records reviewable, reconcilable and ready for owner reporting.

Many accounts, one standard

A manager touches statements for operating accounts, security-deposit accounts and association accounts, often across several banks. Converting them all into one column standard means the monthly owner packet and the year-end records are built the same way regardless of which bank a given account sits at.

Trust money deserves proof

Where funds are held for owners or tenants, the record has to reconcile — not approximately, but to the statement. Running every statement through a conversion with a balance check gives each account a verified transaction file behind the reports owners receive.

Screening support

Applicant statements convert into reviewable files for income verification, with the same authenticity arithmetic available as a first screen before deeper checks.

The workflow, step by step

  1. Standardize intake. Collect statements per account per month into the management file as they arrive.
  2. Convert and check. Batch-convert and confirm each statement reconciles before using its data in reporting.
  3. Report from verified files. Build owner statements and year-end summaries from the converted, reconciled data.
  4. Archive the pair. Keep each PDF with its converted file so any reported figure traces to the bank record.

These are the general steps most banks follow for statement downloads; exact menu labels vary by bank and change over time.

Questions and answers

Can converted files replace the bank statements in our records?

No — the bank-issued PDF remains the record. Converted files are the working and reporting layer built on top of it.

What does the reconciliation check do?

Where the statement prints opening and closing (or running) balances, the converter adds up the extracted transactions and compares the result with the statement itself. If the numbers do not tie, the conversion is flagged and the mismatched rows are marked — a failed check is never shown as a success.

Are my statement files kept?

No. Uploaded files and generated exports are stored only briefly to complete the download and are automatically deleted within 15 minutes.
