Convert a scanned bank statement

Some statements arrive as scans or photos — image PDFs with no text layer. The converter reads those with OCR and runs the same reconciliation check on the result.

How scanned conversion works

When an uploaded PDF has no readable text layer, the converter renders each page and reads it with optical character recognition (OCR), then extracts transactions from the recognized text using the same layout logic as for digital PDFs. The result is marked as OCR-extracted.

Why the reconciliation check matters more for scans

OCR can misread characters, especially digits. That is exactly why the extracted transactions are reconciled against the balances printed on the statement: if the OCR output does not add up to the statement's own totals, the conversion is flagged and the mismatched rows are marked instead of being passed off as correct. Always review flagged rows against the scan.

How it works, step by step

  1. Download your statement PDF. Sign in to your bank's online banking, open Statements or Documents, and download the period you need as a PDF.
  2. Upload it to the converter. Add the PDF (or several, for batch conversion) to the tool on this page.
  3. Check the reconciliation result. The converter verifies the transactions against the statement's balances and flags any row that does not tie.
  4. Download your file. Choose Excel, CSV, QuickBooks or Xero format and import it into your software.

These are the general steps most banks follow for statement downloads; exact menu labels vary by bank and change over time.

Questions and answers

My scan did not reconcile. What should I check?

Look at the flagged rows first — a misread digit in an amount or balance is the usual cause. A flatter, higher-resolution scan (300 dpi, straight pages) also improves OCR accuracy.

What does the reconciliation check do?

Where the statement prints opening and closing (or running) balances, the converter adds up the extracted transactions and compares the result with the statement itself. If the numbers do not tie, the conversion is flagged and the mismatched rows are marked — a failed check is never shown as a success.

Are my statement files kept?

No. Uploaded files and generated exports are stored only briefly to complete the download and are automatically deleted within 15 minutes.
