Landlords read statements for steady deposits and consistent balances. Converting yours to a spreadsheet helps you check what they will see — and prepare explanations before they ask.
A landlord or property manager reviewing statements is checking that income is real and recurring: regular deposits from identifiable sources, balances that do not collapse between months, and no unexplained gaps. Many screen for income that is a multiple of the rent, and deposits are the evidence they use when pay stubs do not tell the whole story.
Convert the statements you plan to submit and sort the combined sheet by amount and by description. Recurring income becomes obvious, one-off transfers between your own accounts stand out (reviewers do not count those as income), and you can prepare a short note for anything unusual while the paperwork is still yours to organize.
Submit the original bank-issued statement PDFs — landlords verify documents, and an edited spreadsheet is not a statement. You can protect yourself by redacting the full account number while leaving names, dates and balances visible; the converted file stays your private working copy.
