Reconciling is not bookkeeping's paperwork — it is the audit trail that makes every other number believable. The Zions Bank version of the routine is on this page, balances first, exceptions documented.
Zions statements typically run as a single chronological history with running balances.
There is a quiet compound interest to reconciling monthly: each proven month makes the next one cheaper, because the opening balance never needs investigating. The expensive reconciliation is always the first one after a long gap, where every historical shortcut is still hiding. Whether the gap is behind you or ahead of you, the method is the same — prove the file against the statement at conversion, then prove the books against the file in the software. The methodology page documents how the first proof runs.
These are the general steps most banks follow for statement downloads; exact menu labels vary by bank and change over time.
One habit separates fast reconciliations from slow ones: read a Zions Bank statement in the order the bank printed it before sorting it any other way. Running balances only make sense in print order, pending items cluster at period boundaries in print order, and the bank's own section subtotals — free checkpoints — exist only in print order. Convert the PDF from eStatements in Zions Bank online banking and the mobile app, walk it as printed, and let the accounting software do the reordering afterwards.
An account is only fully proven when two different comparisons agree: the file against the statement (was the data read correctly?) and the books against the file (was it entered and categorized without loss?). Skipping the first makes the second prove the wrong thing beautifully — the software will happily reconcile to a file that misread the statement. Keeping the two checks separate, in that order, is what makes a discrepancy localizable in minutes.
Deposit statements print an opening and closing balance, and most print a running balance per transaction. Card statements print Previous and New Balances instead. The reconciliation check uses whichever the statement provides; a statement with no balances at all is reported as unverified.
They check different things. The conversion check proves the file matches the statement; the software reconciliation proves the books match the file. Doing both, in that order, is what makes a month solid.
A cheque written but not yet cleared, or a deposit recorded but not yet at the bank, makes honest books differ from the statement by exactly those items. They are listed, carried forward, and expected to clear next month — they are not errors.
A sign error: the transaction was read as money in when it was money out, or the reverse. The totals move by twice the amount because the correction has to both remove the wrong entry and add the right one.
In larger setups, separation is a genuine control: the person reconciling is not the person who entered. In a one-person practice the monthly habit plus the filed evidence trio is the practical substitute.
