How to reconcile Northern Trust statements

Every Northern Trust statement can prove itself — opening balance, transactions, closing balance. Reconciliation is simply running that proof before the numbers are used. This page shows how, month by month.

What you are checking against

Deposit statements at Northern Trust typically run in date order with the balance carried on each row; its card statements follow the Previous Balance / New Balance structure instead. Northern Trust is headquartered in Chicago, Illinois, and its statements are issued centrally — the same document family serves every branch and channel.

Whatever the layout, the arithmetic underneath a statement is always the same shape: an opening figure, the period's transactions, and a closing figure the transactions must reproduce exactly. Reconciliation is the discipline of insisting on that proof for every month, in order. The converter runs the check at conversion time — totals first, then the running balance row by row — so a bad file is caught before it reaches the books, and the methodology page explains both checks in full.

The Northern Trust month-end reconciliation workflow

  1. Rebuild trust from the last agreed balance. Find the most recent closing balance both sides agreed on — in writing, in a filed result, not from memory. Everything after that point is the work area; everything before it is closed.
  2. Convert forward one month at a time. Each month's conversion carries its own verdict. A clean month extends the agreed chain; a flagged month stops the line until its rows are resolved against the PDF.
  3. Treat outstanding items as first-class citizens. Deposits in transit and uncleared cheques are named, dated and carried on a list — never netted silently into an adjustment. The list is what next month checks first.
  4. Close each month in the software before opening the next PDF. The discipline is sequential on purpose: interleaving months is how a difference loses its address.
  5. Review the chain quarterly. Four times a year, re-read the chain: twelve handovers a year, each closing equalling the next opening. Any break found in review is found while the trail is warm.

These are the general steps most banks follow for statement downloads; exact menu labels vary by bank and change over time.

Reading one Northern Trust statement closely

One habit separates fast reconciliations from slow ones: read a Northern Trust statement in the order the bank printed it before sorting it any other way. Running balances only make sense in print order, pending items cluster at period boundaries in print order, and the bank's own section subtotals — free checkpoints — exist only in print order. Convert the PDF from eStatements in Northern Trust online banking (website and app), walk it as printed, and let the accounting software do the reordering afterwards.

When a Northern Trust statement does not tie out

Teaching the routine to a successor

Reconciliation knowledge tends to live in one person's head, which makes it fragile. The defence is a written routine — this page is a template — plus the filed evidence trio for each month: statement, converted file, result. A successor who inherits both can reproduce any month without interviewing anyone, and the standard survives staff changes, vacations and growth.

Questions and answers

Can I reconcile several Northern Trust accounts together?

Convert and check each account's statements separately — balances are per account — then reconcile each account in your software. Combined Excel exports keep one sheet per statement so accounts never blur.

What does an outstanding item mean for reconciliation?

A cheque written but not yet cleared, or a deposit recorded but not yet at the bank, makes honest books differ from the statement by exactly those items. They are listed, carried forward, and expected to clear next month — they are not errors.

The difference is exactly one transaction's amount. Where is it?

Either that transaction is missing from the file or it is in twice. Search the converted file for the amount: zero hits means a dropped row, two hits where the statement shows one means a duplicate.

The bank corrected a Northern Trust transaction mid-period. How do I reconcile?

Banks post corrections as their own dated lines — a reversal and a corrected entry, or a single adjustment line. Enter them exactly as printed, in the period they appear, even if the original transaction sits in an earlier month. The statement is the record; reconciling means matching it, and the pair nets to the truth.

What if two statements overlap or leave a gap at a product change?

When an account changes product, banks sometimes issue a short final statement for the old product and a first statement for the new one. Convert and prove both; the old one's closing balance should equal the new one's opening balance, and that handover is the seam to verify before anything else.
