Working with Capital One statements month after month? This page sets out the reconciliation routine: what to check, in what order, and what the usual failures mean.
Capital One is card-heavy: for many customers the primary statement is a credit-card statement with a Previous Balance / New Balance layout, while 360 deposit accounts issue their own monthly statements.
Whatever the layout, the arithmetic underneath a statement is always the same shape: an opening figure, the period's transactions, and a closing figure the transactions must reproduce exactly. Reconciliation is the discipline of insisting on that proof for every month, in order. The converter runs the check at conversion time — totals first, then the running balance row by row — so a bad file is caught before it reaches the books, and the methodology page explains both checks in full.
These are the general steps most banks follow for statement downloads; exact menu labels vary by bank and change over time.
Before reconciling a Capital One statement, read it once as a document rather than a data source. Find the opening balance on the first page and the closing balance where the period ends, then notice how the middle is organized — one chronological run, or sections for deposits, withdrawals and fees. That structure tells you how a difference will behave: in a sectioned statement, compare section totals first; in a chronological one, the running balance walk is your fastest instrument. The statements themselves are filed under Statements & Documents in Capital One online banking and the Capital One app, so the document you reconcile is always the bank-issued original.
Most relationships reconcile as a set, not as islands: payments leave the deposit account and land on the card statement, transfers move between accounts, and each leg appears on two statements. Reconcile the deposit account first, then the card, and expect the cross-account transactions to explain each other's odd rows. A difference that survives both reconciliations, in equal and opposite amounts, is almost always a transfer recorded on one side only.
Work the flagged rows first — the check marks exactly where the arithmetic breaks. The causes section on this page lists the usual suspects in order of likelihood.
Monthly, in step with the statements. Reconciling a year in one sitting is exactly the catch-up scenario the batch converter exists to shorten — and month-by-month chaining is what makes it provable.
They check different things. The conversion check proves the file matches the statement; the software reconciliation proves the books match the file. Doing both, in that order, is what makes a month solid.
Convert and check each account's statements separately — balances are per account — then reconcile each account in your software. Combined Excel exports keep one sheet per statement so accounts never blur.
A cheque written but not yet cleared, or a deposit recorded but not yet at the bank, makes honest books differ from the statement by exactly those items. They are listed, carried forward, and expected to clear next month — they are not errors.
