Need Capital One statements as PDFs — for the books, for a cleanup, for an application? This is the download playbook: the portal, the periods, older statements, and the next steps.
These are the general steps most banks follow for statement downloads; exact menu labels vary by bank and change over time.
For catch-up work the limiting factor is rarely conversion — it is archive depth. Online banking usually keeps a rolling multi-year archive of statement PDFs. Older than that, request research copies from the bank; if they arrive as paper or scans, the converter reads them with OCR and reconciles the result against the printed balances exactly as it does for digital PDFs.
Card statements are the main event at Capital One: a Previous Balance, the period's purchases, payments and credits, and a New Balance, with transaction and posting dates side by side. Deposit accounts, where held, issue their own monthly statements with opening and closing balances instead. Convert the two families separately — the converter checks card statements against their Previous and New Balances and deposit statements against opening and closing balances, and mixing them in one file muddles both checks. Capital One is card-heavy: for many customers the primary statement is a credit-card statement with a Previous Balance / New Balance layout, while 360 deposit accounts issue their own monthly statements.
If the account still receives paper statements, the fastest upgrade in any bookkeeping workflow is switching it to eStatements in Capital One online banking and the Capital One app — every future month then exists as a first-generation PDF. For months already past, paper scans convert through OCR with the same balance check; scan flat, straight and at a steady resolution, and review flagged rows against the image. Avoid the middle option — printing an online statement to paper and scanning it back — which destroys the digital original for no benefit.
The digital PDF is always the cleanest input. A paper statement can be scanned flat at a steady resolution and converted through OCR; its result is reconciled and flagged rows should be reviewed against the scan.
It adds the extracted transactions to the statement's opening balance and compares the result with the closing balance — and checks running balances row by row where printed. Downloads that do not tie are flagged, never passed silently.
Separate months. Each monthly statement carries its own opening and closing balances, which is what the verification works from — and month-by-month files import in order without surgery.
Yes — that is the normal flow. Download the PDFs and send them as issued; your bookkeeper converts and verifies them. Never send online banking passwords; statements are all a bookkeeper needs from the bank.
Common causes: the account statemented quarterly in that period, the account was opened or closed mid-cycle, or the statement sits under a combined-statement view. Check the neighbouring months' balances — if they chain, the period is covered.
