Bank Zero statements to Xero: what you get

The Xero-format file carries the Bank Zero transactions with the four columns Xero reads, in the order it reads them, converted from the PDF and verified against the statement's balances before you download it.

The main use is catch-up work in Xero, uploading missing months in order. Every conversion is checked against the statement itself: where the statement prints opening and closing (or running) balances, the extracted transactions must add up to them, or the conversion is flagged and the mismatched rows are marked. A statement whose layout the reader cannot parse is reported honestly — never passed off as converted.

Reconciliation is what separates conversion from copying. Once the Bank Zero transactions are extracted, the converter replays them: opening balance plus each row in turn must reproduce every printed running balance and land exactly on the closing figure. A dropped row, a duplicated row or a misread digit breaks the chain and is flagged at the row where it breaks, with the expected and printed balances shown side by side.

Read a Bank Zero statement as three zones. The header zone names the account and the period — check those first, because a wrong-period PDF converts beautifully and reconciles against the wrong month. The middle zone is the transaction list itself. A reconciliation difference is most often one of those large items — a duplicate, a drop, or a digit misread — and knowing the candidates in advance shortens the search considerably.

In South Africa, bookkeepers commonly work in Sage, Xero and QuickBooks; the Excel and CSV exports from this converter are the files those tools import, and the Xero export is laid out for direct import where the tool accepts it.

Month-end with Bank Zero statements

A workable rhythm: download the month's PDF the day the period closes, convert it, read the reconciliation verdict, then import. Months proven in order chain together — each closing balance becomes the next month's opening — so a difference is always owned by exactly one month.

Before you use the file

If Xero reports duplicate statement lines on upload, a period has been imported before — usually through a feed that later started working. Delete the newer import rather than the older one if the older is already reconciled.

How to download a statement PDF from Bank Zero

  1. Log in the way you normally bank. Use the bank's website or mobile app and sign in with your usual credentials.
  2. Go to the account, then its documents. Statements are per account and per period. Convert each account separately so balances never blur together.
  3. Download the periods you need. Download each period as its own file. The reconciliation check proves one statement at a time, which is what makes a long catch-up provable.
  4. Save the PDF, do not screenshot it. Do not annotate, merge or reprint the file before converting — the reader works best on the document exactly as issued.
  5. Upload and verify. Add the file to the converter on this page. You can add several statement PDFs at once for batch conversion.

These are the general steps most banks follow for statement downloads; exact menu labels vary by bank and change over time.

Tip: download statements as the periods close rather than in a year-end scramble; portals sometimes archive older periods behind request forms.

Questions and answers

How do I convert a Bank Zero statement to Xero?

Download the statement PDF from Bank Zero online banking, upload it to the converter on this page, and download the a Xero-ready CSV (Date, Amount, Payee, Description). The transactions are extracted, put into the same standard columns used for every bank, and checked against the statement's balances first.

What date and number formats do Bank Zero statements use?

Like most banks in South Africa, Bank Zero prints dates as the order printed on the statement itself and amounts with the grouping printed on the statement itself. Conversion normalizes dates to an unambiguous form in the output while leaving the figures themselves untouched.

What does the reconciliation check do?

Where the statement prints opening and closing (or running) balances, the converter adds up the extracted transactions and compares the result with the statement itself. If the numbers do not tie, the conversion is flagged and the mismatched rows are marked — a failed check is never shown as a success.

My Bank Zero statement has a running balance column. Is it used?

Yes — it is one of the strongest checks available. The converter walks the extracted amounts against the printed running balance row by row, so a single dropped or duplicated transaction is pinpointed instead of merely suspected.

What if two Bank Zero statements cover overlapping days?

Convert them separately and import only one version of the overlap. Banks occasionally reissue a corrected statement for a period; the later issue supersedes the earlier, and importing both would double the shared days.

Can I convert a full year of Bank Zero statements at once?

Yes. Download each month as its own PDF and upload them together — batch mode converts them in one run and, in Excel, adds a combined sheet. Each statement is still reconciled separately, because balances are per statement.

Does the converter work with Bank Zero credit-card statements?

Yes. Credit-card statements use a Previous Balance / New Balance layout, which the converter reads as well; purchases are positive and payments are negative, and the same totals check applies.

What columns does the converted file have?

Date, Description, Amount, Debit, Credit and Balance — the same normalized columns for every bank, so a Bank Zero file and a file from any other bank in South Africa can be imported and reviewed the same way.

Are my statement files kept?

No. Uploaded files and generated exports are stored only briefly to complete the download and are automatically deleted within 15 minutes.
