The difference between books you trust and books you hope are right is one habit: reconciling every Happy State Bank statement, in order, against its own balances. Here is that habit as a workflow.
Happy State Bank typically prints the period's opening balance first, works through the activity in date order, and closes with the ending balance the transactions must reproduce. Happy State Bank (Amarillo, Texas) files its statements in the documents area of online banking, organized by account and closing date.
Every statement carries its own test inside it. Add the opening balance to the transactions and you must land on the closing balance; walk the running balance and every row must step correctly from the one before. A conversion that passes both tests has earned trust; one that fails gets fixed against the PDF, not imported and hoped for. That is why the check runs before download here — the methodology page sets out the details.
These are the general steps most banks follow for statement downloads; exact menu labels vary by bank and change over time.
Start a Happy State Bank reconciliation by reading the statement's summary block — most layouts print one. It states the opening balance, totals for each activity type, and the closing balance, which gives you four numbers to aim at before any row is touched. If the converted file reproduces the summary totals, remaining differences are categorization questions, not reading errors. The document itself comes from Statements in the Happy State Bank website and mobile app; reconcile only against that issued original, never against a re-export or a screenshot.
Inherited books deserve a colder eye: trust nothing that is not tied to a statement. Start at the most recent statement and work backwards only as far as the engagement requires, proving each month against its own document before accepting its closing balance as the next month's ground. Where a predecessor forced a reconciliation to agree, the plug usually sits in an adjustments or suspense entry — find those first, because every honest month built on a plugged balance inherits the error.
Deposit statements print an opening and closing balance, and most print a running balance per transaction. Card statements print Previous and New Balances instead. The reconciliation check uses whichever the statement provides; a statement with no balances at all is reported as unverified.
Work the flagged rows first — the check marks exactly where the arithmetic breaks. The causes section on this page lists the usual suspects in order of likelihood.
A cheque written but not yet cleared, or a deposit recorded but not yet at the bank, makes honest books differ from the statement by exactly those items. They are listed, carried forward, and expected to clear next month — they are not errors.
Yes. Small differences are usually misread digits or rounding on a split transaction, and they compound silently if waved through. A reconciliation that tolerates cents teaches the whole file to drift.
When an account changes product, banks sometimes issue a short final statement for the old product and a first statement for the new one. Convert and prove both; the old one's closing balance should equal the new one's opening balance, and that handover is the seam to verify before anything else.
