What you are checking against

Deposit statements at Commerce Bank typically carry opening and closing balances with activity in posting order; card statements, where the bank issues its own cards, use Previous and New Balances. Headquartered in Kansas City, Missouri, Commerce Bank issues every account's statements through the same online banking platform.

Reconciliation fails in instructive ways, which is why it is worth doing before import rather than after. A difference the size of one transaction means a row is missing or doubled; twice a transaction means a sign flipped; a few cents means a digit was misread somewhere. The check on this page reports which pattern a statement fell into by naming the rows where the running balance breaks, so the hunt starts at the right row instead of the first page. The methodology page explains the arithmetic in full.

The Commerce Bank month-end reconciliation workflow

  1. Start from the last proven month. Reconciliation builds on solid ground: the last month whose closing balance you have already proven. Everything after it is worked in order.
  2. Convert the statement. Upload the month's PDF and read the reconciliation result before importing anything. Reconciled means the extracted transactions reproduce the statement's own balances.
  3. Resolve flags against the PDF. If the conversion flags rows, correct them against the statement now — importing first and fixing later doubles the work.
  4. Import and reconcile in your software. Bring the verified file into QuickBooks or Xero and reconcile the month there against the same closing balance.
  5. Chain the months. Confirm this month's closing balance equals next month's opening balance before moving on. A break in the chain is a missing or duplicated statement, and it is cheapest to find now.

These are the general steps most banks follow for statement downloads; exact menu labels vary by bank and change over time.

Reading one Commerce Bank statement closely

Before reconciling a Commerce Bank statement, read it once as a document rather than a data source. Find the opening balance on the first page and the closing balance where the period ends, then notice how the middle is organized — one chronological run, or sections for deposits, withdrawals and fees. That structure tells you how a difference will behave: in a sectioned statement, compare section totals first; in a chronological one, the running balance walk is your fastest instrument. The statements themselves are filed under Statements and Documents in the Commerce Bank website and mobile app, so the document you reconcile is always the bank-issued original.

When a Commerce Bank statement does not tie out

The two reconciliations every account needs

An account is only fully proven when two different comparisons agree: the file against the statement (was the data read correctly?) and the books against the file (was it entered and categorized without loss?). Skipping the first makes the second prove the wrong thing beautifully — the software will happily reconcile to a file that misread the statement. Keeping the two checks separate, in that order, is what makes a discrepancy localizable in minutes.

Questions and answers

How often should I reconcile?

Monthly, in step with the statements. Reconciling a year in one sitting is exactly the catch-up scenario the batch converter exists to shorten — and month-by-month chaining is what makes it provable.

The difference is exactly one transaction's amount. Where is it?

Either that transaction is missing from the file or it is in twice. Search the converted file for the amount: zero hits means a dropped row, two hits where the statement shows one means a duplicate.

My software balance and the statement agree, but I never reconciled. Am I fine?

Not necessarily — two errors can cancel. Agreement of balances is a hint, not a proof; the proof is the transaction-level comparison a reconciliation performs. Convert and check the statements to be sure.

Who should reconcile — the person who enters transactions?

In larger setups, separation is a genuine control: the person reconciling is not the person who entered. In a one-person practice the monthly habit plus the filed evidence trio is the practical substitute.

Should I reconcile savings and CDs the same way?

Yes, with lower stakes and the same shape: opening balance, interest and any transfers, closing balance. Savings accounts statement monthly at most banks; CDs often statement quarterly or at term events. Prove each document that exists, and let the chain check span the quiet periods.
