The difference between books you trust and books you hope are right is one habit: reconciling every Citibank statement, in order, against its own balances. Here is that habit as a workflow.
Citi keeps checking and card statements clearly separate; card statements carry the Previous Balance / New Balance structure instead of opening and closing balances.
Every statement carries its own test inside it. Add the opening balance to the transactions and you must land on the closing balance; walk the running balance and every row must step correctly from the one before. A conversion that passes both tests has earned trust; one that fails gets fixed against the PDF, not imported and hoped for. That is why the check runs before download here — the methodology page sets out the details.
These are the general steps most banks follow for statement downloads; exact menu labels vary by bank and change over time.
A Citibank statement repays thirty seconds of orientation before any numbers move. Locate the balance pair the month is anchored to — opening and closing on deposit accounts, Previous and New on cards — and scan the transaction list for the period's biggest items, since a reconciliation difference is most often one of them. Note any section subtotals the layout prints; each one is a free checkpoint the converter's running-balance walk also uses. Pull the PDF from Statements in Citi Online and the Citi Mobile app so you are always working from the issued document, not a re-export.
The strongest property of a reconciled year is the chain: twelve statements where every closing balance hands over to the next opening balance without a seam. Build the chain and a whole class of errors — missing months, duplicated months, a statement converted twice — becomes impossible to hide. When a chain breaks, the break itself localizes the problem to the seam between two specific months, which is a five-minute investigation instead of a day of searching.
Convert and check each account's statements separately — balances are per account — then reconcile each account in your software. Combined Excel exports keep one sheet per statement so accounts never blur.
A cheque written but not yet cleared, or a deposit recorded but not yet at the bank, makes honest books differ from the statement by exactly those items. They are listed, carried forward, and expected to clear next month — they are not errors.
Either that transaction is missing from the file or it is in twice. Search the converted file for the amount: zero hits means a dropped row, two hits where the statement shows one means a duplicate.
A sign error: the transaction was read as money in when it was money out, or the reverse. The totals move by twice the amount because the correction has to both remove the wrong entry and add the right one.
Yes — scanned statements convert through OCR and go through the identical checks. Because OCR can misread digits, treat flagged rows on scans with extra care and always resolve them against the image.
