Working with BMO Harris Bank statements month after month? This page sets out the reconciliation routine: what to check, in what order, and what the usual failures mean.
BMO Harris became BMO, and the Bank of the West conversion moved many customers onto BMO layouts — archives can contain both generations of statement design.
Whatever the layout, the arithmetic underneath a statement is always the same shape: an opening figure, the period's transactions, and a closing figure the transactions must reproduce exactly. Reconciliation is the discipline of insisting on that proof for every month, in order. The converter runs the check at conversion time — totals first, then the running balance row by row — so a bad file is caught before it reaches the books, and the methodology page explains both checks in full.
These are the general steps most banks follow for statement downloads; exact menu labels vary by bank and change over time.
Reconciliation goes faster when you know the document's habits. On a BMO Harris Bank statement, check where fees and interest sit — inside the chronological flow or in a closing section of their own — because that is where unrecorded items hide. Confirm the statement's closing date matches the period you think you are closing; cycle dates drift from calendar months. And keep the source straight: reconcile against the statement filed under Statements in BMO Digital Banking and the BMO app, the bank's own record of the month.
Reconciliation knowledge tends to live in one person's head, which makes it fragile. The defence is a written routine — this page is a template — plus the filed evidence trio for each month: statement, converted file, result. A successor who inherits both can reproduce any month without interviewing anyone, and the standard survives staff changes, vacations and growth.
Work the flagged rows first — the check marks exactly where the arithmetic breaks. The causes section on this page lists the usual suspects in order of likelihood.
Monthly, in step with the statements. Reconciling a year in one sitting is exactly the catch-up scenario the batch converter exists to shorten — and month-by-month chaining is what makes it provable.
They check different things. The conversion check proves the file matches the statement; the software reconciliation proves the books match the file. Doing both, in that order, is what makes a month solid.
Convert and check each account's statements separately — balances are per account — then reconcile each account in your software. Combined Excel exports keep one sheet per statement so accounts never blur.
A cheque written but not yet cleared, or a deposit recorded but not yet at the bank, makes honest books differ from the statement by exactly those items. They are listed, carried forward, and expected to clear next month — they are not errors.
