Statements first, spreadsheets second. What follows is how Bank of New York Mellon files its statements, how to download the exact periods a job requires, and how those PDFs become verified data.
These are the general steps most banks follow for statement downloads; exact menu labels vary by bank and change over time.
Statement archives are organized by closing date, newest first, and usually searchable or filterable by year. For a full-year catch-up, work the list methodically from the oldest month forward and save each PDF as you go — partial downloads are how gap months happen. If the archive offers a combined or annual document, prefer the individual monthly statements: each one carries its own opening and closing balances, which is what the reconciliation check needs.
A national bank relationship usually spans several statement families: checking and savings with opening/closing balances, money market accounts on the same pattern, CDs that may statement quarterly or at term events, and credit cards on the Previous / New Balance pattern. Each family converts on its own check. Before a cleanup, inventory which families the relationship actually has — the card statements are the ones most often forgotten. Bank of New York Mellon statements typically separate activity into sections — deposits, withdrawals, fees — ahead of a daily balance summary on many account types. Headquartered in New York, New York, Bank of New York Mellon issues every account's statements through the same online banking platform.
If you are the client reading this because your bookkeeper or accountant asked for statements: download the full set in one sitting, every account and every month on their list, and send the PDFs exactly as the bank issued them. Do not photograph pages, do not merge months into one file, and do not edit anything out — a missing transaction is far more expensive than an embarrassing one, and your bookkeeper works under confidentiality either way. If a month is missing from the archive, say so; a known gap is a solvable problem.
Yes — that is the normal flow. Download the PDFs and send them as issued; your bookkeeper converts and verifies them. Never send online banking passwords; statements are all a bookkeeper needs from the bank.
Common causes: the account statemented quarterly in that period, the account was opened or closed mid-cycle, or the statement sits under a combined-statement view. Check the neighbouring months' balances — if they chain, the period is covered.
Either reaches the statements, but the website's archive is often deeper and multi-month downloading is faster with a keyboard. Use the app for single recent months, the website for history.
Usually the download was interrupted, or the file is a print-view export rather than the issued PDF. Re-download from the statements area; if the bank offers both a print and a PDF option, take the PDF.
Statements close on a cycle date set by the bank, which is often a few days before or after month end. Work in statement periods when you import — the closing date on the document is the period's end, whatever the calendar says — and let the balance chain, not the calendar, tell you whether a month is missing.
