Reconciliation is the proof that the books and the bank agree. This page gives the month-end workflow for Bank of Hawaii statements and the fixes for when they do not tie.
A Bank of Hawaii statement typically runs as one dated history — deposits, withdrawals and fees in posting order — with the balance shown per transaction on most layouts. Bank of Hawaii (Honolulu, Hawaii) files its statements in the documents area of online banking, organized by account and closing date.
Reconciliation fails in instructive ways, which is why it is worth doing before import rather than after. A difference the size of one transaction means a row is missing or doubled; twice a transaction means a sign flipped; a few cents means a digit was misread somewhere. The check on this page reports which pattern a statement fell into by naming the rows where the running balance breaks, so the hunt starts at the right row instead of the first page. The methodology page explains the arithmetic in full.
These are the general steps most banks follow for statement downloads; exact menu labels vary by bank and change over time.
One habit separates fast reconciliations from slow ones: read a Bank of Hawaii statement in the order the bank printed it before sorting it any other way. Running balances only make sense in print order, pending items cluster at period boundaries in print order, and the bank's own section subtotals — free checkpoints — exist only in print order. Convert the PDF from Statements & Documents in Bank of Hawaii online banking (website and app), walk it as printed, and let the accounting software do the reordering afterwards.
Reconciliation knowledge tends to live in one person's head, which makes it fragile. The defence is a written routine — this page is a template — plus the filed evidence trio for each month: statement, converted file, result. A successor who inherits both can reproduce any month without interviewing anyone, and the standard survives staff changes, vacations and growth.
Convert and check each account's statements separately — balances are per account — then reconcile each account in your software. Combined Excel exports keep one sheet per statement so accounts never blur.
A cheque written but not yet cleared, or a deposit recorded but not yet at the bank, makes honest books differ from the statement by exactly those items. They are listed, carried forward, and expected to clear next month — they are not errors.
Either that transaction is missing from the file or it is in twice. Search the converted file for the amount: zero hits means a dropped row, two hits where the statement shows one means a duplicate.
Yes — scanned statements convert through OCR and go through the identical checks. Because OCR can misread digits, treat flagged rows on scans with extra care and always resolve them against the image.
Usually not an error: running balances depend on the order transactions are walked, and the software may order same-day items differently from the bank. Agreement at the closing balance with every transaction present is the substance; mid-month ordering differences on the same posting date are cosmetic.
