How to reconcile Apple Bank statements

Every Apple Bank statement can prove itself — opening balance, transactions, closing balance. Reconciliation is simply running that proof before the numbers are used. This page shows how, month by month.

What you are checking against

Apple Bank statements typically list transactions chronologically with a running balance on deposit accounts, and print opening and closing balances for the period. Apple Bank (New York, New York) files its statements in the documents area of online banking, organized by account and closing date.

Bookkeepers sometimes describe the statement as the referee, and the metaphor earns its keep: the bank's record is the one both the books and the conversion must satisfy. A converted file is therefore reconciled twice in a healthy workflow — once against the statement at conversion, and once inside the accounting software when the month is closed. Skipping the first reconciliation does not save the work; it moves the hunt for errors into the tool least able to localize them. The full method is documented on the methodology page.

The Apple Bank month-end reconciliation workflow

  1. Begin with the statement, not the software. Open the month's PDF and read its summary numbers first: opening, totals, closing. The software gets opened second, with the target already known.
  2. Convert and compare totals before rows. Match the converted file's totals to the statement's summary. Totals that agree leave only classification questions; totals that disagree send you to the flagged rows, in order.
  3. Resolve flags while both documents are open. Statement on one side, file on the other, fix each marked row at its source. Flags resolved later are resolved from memory, and memory is how errors get in.
  4. Import and reconcile to the identical closing figure. The software's reconciliation target is the statement's closing balance and closing date — typed from the statement, never from the imported file, so the check stays independent.
  5. Leave the month better documented than you found it. Save the trio — statement, file, result — plus one line noting anything outstanding. The next person to touch this month may be you in a year.

These are the general steps most banks follow for statement downloads; exact menu labels vary by bank and change over time.

Reading one Apple Bank statement closely

Start a Apple Bank reconciliation by reading the statement's summary block — most layouts print one. It states the opening balance, totals for each activity type, and the closing balance, which gives you four numbers to aim at before any row is touched. If the converted file reproduces the summary totals, remaining differences are categorization questions, not reading errors. The document itself comes from Statements & Documents in Apple Bank online banking and the mobile app; reconcile only against that issued original, never against a re-export or a screenshot.

When a Apple Bank statement does not tie out

Teaching the routine to a successor

Reconciliation knowledge tends to live in one person's head, which makes it fragile. The defence is a written routine — this page is a template — plus the filed evidence trio for each month: statement, converted file, result. A successor who inherits both can reproduce any month without interviewing anyone, and the standard survives staff changes, vacations and growth.

Questions and answers

Does reconciling in QuickBooks or Xero replace the conversion check?

They check different things. The conversion check proves the file matches the statement; the software reconciliation proves the books match the file. Doing both, in that order, is what makes a month solid.

What does an outstanding item mean for reconciliation?

A cheque written but not yet cleared, or a deposit recorded but not yet at the bank, makes honest books differ from the statement by exactly those items. They are listed, carried forward, and expected to clear next month — they are not errors.

The difference is double a transaction's amount. What does that tell me?

A sign error: the transaction was read as money in when it was money out, or the reverse. The totals move by twice the amount because the correction has to both remove the wrong entry and add the right one.

The bank corrected a Apple Bank transaction mid-period. How do I reconcile?

Banks post corrections as their own dated lines — a reversal and a corrected entry, or a single adjustment line. Enter them exactly as printed, in the period they appear, even if the original transaction sits in an earlier month. The statement is the record; reconciling means matching it, and the pair nets to the truth.

My Apple Bank statement shows a running balance but my software disagrees mid-month while agreeing at the end. Problem?

Usually not an error: running balances depend on the order transactions are walked, and the software may order same-day items differently from the bank. Agreement at the closing balance with every transaction present is the substance; mid-month ordering differences on the same posting date are cosmetic.
