Statements first, spreadsheets second. What follows is how American Express files its statements, how to download the exact periods a job requires, and how those PDFs become verified data.
These are the general steps most banks follow for statement downloads; exact menu labels vary by bank and change over time.
Most accounts statement monthly, closing on the same cycle date each month. Online statement archives typically reach back several years; when a cleanup needs months beyond the online archive, the route is a statement request to the bank — branches and phone support can usually produce older PDFs or paper copies for a closed period, and those paper copies convert through the scanned (OCR) route with the same reconciliation check.
Card statements are the main event at American Express: a Previous Balance, the period's purchases, payments and credits, and a New Balance, with transaction and posting dates side by side. Deposit accounts, where held, issue their own monthly statements with opening and closing balances instead. Convert the two families separately — the converter checks card statements against their Previous and New Balances and deposit statements against opening and closing balances, and mixing them in one file muddles both checks. Amex documents are card statements: transaction and posting dates sit side by side, and payments reduce the balance — in bookkeeping exports they carry negative amounts.
If you are the client reading this because your bookkeeper or accountant asked for statements: download the full set in one sitting, every account and every month on their list, and send the PDFs exactly as the bank issued them. Do not photograph pages, do not merge months into one file, and do not edit anything out — a missing transaction is far more expensive than an embarrassing one, and your bookkeeper works under confidentiality either way. If a month is missing from the archive, say so; a known gap is a solvable problem.
Recent statements in online banking are self-serve. Research copies of older or closed-account statements are a bank service and policies vary — ask before ordering a long history, and check the online archive first.
Usually the download was interrupted, or the file is a print-view export rather than the issued PDF. Re-download from the statements area; if the bank offers both a print and a PDF option, take the PDF.
Many banks offer a transaction download in CSV or OFX alongside the PDF statements. That covers recent activity, but the PDF statement remains the document with balances — the thing reconciliation is checked against.
Some relationships offer combined statements covering several accounts in one PDF. Download it once, then convert each account's section separately so every account keeps its own balance check.
After signing in to the American Express website and the Amex app, open the account and look for Statements & Activity (or Documents / eStatements). The step-by-step section above walks the pattern; exact menu labels change over time.
